General Description

Reporting to an Assistant Dean of Student Engagement and Director of the Afro-American Cultural Center (aka “The House”), the Assistant Director of the Afro-American Cultural Center (AD) is responsible for working with all aspects of the functioning of “The House”. The AD serves as a liaison for individual students, student organizations and affiliated organizations, plans and executes events, supervises undergraduate and graduate student workers, and manages the budget of The House. 

Duties

  • Work with the Director in strategic planning, financial management, program assessment and departmental reporting. 
  • Provide a consistent, full-time, on-site presence at The House.
  • Maintains budget and tracks expenses for Director, student organizations, Student Assistants, Graduate Assistants, and Peer Liaisons.
  • Liaise with facilities and provide logistical support for the Center's operations and Dean. Serve as primary contact person for House custodian and Yale’s Facilities team. Put in work requests for repairs, updates, etc. when necessary.
  • Collaborates with Director and Student Organization Consultant (SOC) to properly advise groups on resources, event planning, transitions, and related. Manage affiliated organizations (e.g., Black Church at Yale).
  • Collaborates with the leadership team to manage student organization involvement in center programming and tasks (e.g. Black Graduation, Open Houses, retreats, Bulldog Days, social media engagement, website updates, etc.).
  • Manages student organization affiliation process, including affiliation forms, funding requests, event and meeting requirements, and event evaluations.
  • Facilitates group advising meetings with each affiliate student organization once per semester and on an as-needed-basis.
  • Facilitates one student organization leader meeting each month, including trainings by campus partners.
  • Reviews student organizations’ event evaluations and compiles data to include in annual End of Year Report.
  • Processes documentation of setting up vendors, speaker contracts, and COA transfers.
  • Coordinates purchases on behalf of student organizations, Student Assistants,
  • Graduate Assistants, and Peer Liaisons (e.g. P-Card, invoices, reimbursements, etc.)
  • Processes expense reports, vendor documents, and reimbursements for student
  • organizations, Student Assistants, Graduate Assistants, and Peer Liaisons.
  • Manages center supplies and purchases by reviewing weekly inventory updates.
  • Processes card access requests and space reservation requests.
  • Manage relationships with faculty, area studies councils, academic departments and
  • programs to further the academic mission of the Cultural Center, formulate student support and mentoring services and academically geared programming; and other needs as determined by the Dean. Work with graduate assistant(s) to coordinate The House’s mentorship program. Work with graduate assistant(s) to plan monthly event for mentorship program members.
  • Coordinates Yale Student Employment job posting, including academic year student hires, temporary student hires, and terminations.
  • Reviews and approves weekly timesheets for Student Assistants, Graduate Assistants, and Peer Liaisons.
  • Coordinates technology needs, including Zoom access for hybrid programming,
  • Bedework calendar updates, and staff communication platforms (e.g. Teams, Box, Google Drive, Yale Connect, etc.).
  • Works collaboratively with Ads of the other cultural centers to plan intercultural initiatives.
  • Provide support as needed to other Centers, University initiatives, and departments, including crisis management. 
  • Other duties as assigned.
